This Privacy Policy explains how Fan Chen Studios Pte Ltd (梵晨) (UEN: 202550954R) (“Fan Chen Studios”, “we”, “us”, “our”) collects, uses, discloses and protects personal data. It applies to everyone who visits fanchenstudios.com, contacts us, completes our style questionnaire, or engages us for interior design and renovation services.
We handle personal data in accordance with Singapore’s Personal Data Protection Act 2012 (PDPA) and its regulations. By using our website or services, or by giving us your personal data, you agree to this policy. If you do not agree, please do not provide your personal data to us.
1. Key terms
- Personal data means data, whether true or not, about an individual who can be identified from that data, or from that data together with other information we have or are likely to have.
- You means any individual whose personal data we handle, including website visitors, prospective clients, clients, their household members and authorised representatives.
- Services means our interior design, space planning, 3D visualisation, renovation, carpentry, furnishing and aftercare services.
2. Personal data we collect
2.1 Contact and identity details
Your name, mobile number, email address, preferred contact method, and, where needed for contracts or permits, your mailing address and property address.
2.2 Enquiry details
Through our enquiry form, WhatsApp, email or phone: your property type, the service you’re interested in, your message, and any photos, floor plans or documents you send us.
2.3 Style questionnaire (“Identify Your Design”)
Your contact details and the information you choose to share about your home and lifestyle: property type, size and status, rooms to be designed, timeline, household composition (for example children, teenagers, elderly family members or a live-in helper), pets, cooking habits, working-from-home needs, how often you host guests, storage needs, special requirements (such as an altar, accessibility features or a home gym), style and colour preferences, budget range, spending priorities and inspiration links.
2.4 Project and transaction details
- Property details such as unit number, floor plans, measurements, existing conditions, and access arrangements (for example key collection, access cards or lift bookings).
- Design briefs, concept boards, drawings, 3D visuals, quotations, contracts, variation orders and correspondence.
- Payment records such as invoice amounts, payment dates, payment method and bank transfer references. We do not store full card numbers.
- Warranty, defect and aftercare records.
2.5 Identification numbers
We do not collect NRIC, FIN or passport numbers, or copies of those documents, unless the law or an authority requires it, for example for an HDB renovation permit application or a condominium renovation approval. Where required, we collect only what the authority asks for and use it only for that purpose.
2.6 Photos and videos of your home
We take photos and videos during site visits and throughout the renovation to record existing conditions, measurements and progress, and to share progress updates with you. With your permission, we may also photograph the completed home for our portfolio. If we use cameras on site to monitor progress or security, we will tell you in advance and use the footage only for that purpose.
2.7 Website and technical information
When you visit our website, our hosting provider’s servers automatically record technical information such as your IP address, browser and device type, the pages you visit and the time of your visit. Our forms use your IP address temporarily to detect and block spam.
2.8 Information about other people
If you give us personal data about other people, such as family members, co-owners, tenants or a helper, you confirm that you have their consent, or are otherwise entitled, to share it with us for the purposes in this policy.
3. How we collect it
- Directly from you, through our website forms, style questionnaire, WhatsApp, email, phone calls, social media messages, and in person at consultations and site visits.
- From people acting for you, such as a family member, co-owner or property agent.
- From referrals, and from renovation listing platforms you contact us through.
- From authorities and building managers, for example permit approvals and renovation rules.
- Automatically, through our website servers, as described in section 2.7.
4. Why we use it
We collect, use and disclose personal data with your consent, including consent deemed under the PDPA when you voluntarily provide your data for a purpose, or where the PDPA otherwise permits us to do so without consent (for example, for our legitimate interests or to meet legal obligations). We use it to:
- respond to your enquiries and arrange consultations and site visits;
- understand your needs and prepare design briefs, concepts, layouts, 3D visuals and quotations;
- enter into and carry out our contract with you, including coordinating contractors and suppliers, scheduling works, applying for permits and approvals, and giving you progress updates;
- issue invoices, receive payments and manage our accounts;
- handle handover, defects, warranty claims, aftercare, feedback and complaints;
- keep our website, systems and premises secure, and prevent spam, fraud and misuse;
- improve our services, website and questionnaire, using summarised or anonymised information where possible;
- comply with laws and regulations, and respond to requests from authorities;
- establish, exercise or defend legal claims; and
- with your separate consent, send you marketing (see section 7) and feature your home in our portfolio (see section 8).
5. Our website forms and style questionnaire
Where your submissions go. Enquiries and questionnaire briefs are sent by email to our studio inbox. They are not stored in a database on our website. Files you attach to an enquiry are emailed to us and are not kept on the website.
Your questionnaire draft. While you complete the questionnaire, your answers are saved in your own browser so you don’t lose your progress. This draft stays on your device and is only sent to us when you tap “Send my brief”. You can delete it by tapping “Start a new questionnaire” or clearing your browser’s site data.
Style suggestion. The questionnaire suggests a design direction based on your answers. This is only a starting point for our conversation. We do not make any decision about you based solely on automated processing.
6. Cookies, browser storage and third-party services
We do not currently use advertising, tracking or analytics cookies. Our website uses:

You can block or delete cookies and site data in your browser settings; the website will still work. If we start using analytics or advertising tools, we will update this policy first.
Our website links to WhatsApp, Instagram, TikTok, Facebook and other websites. We are not responsible for their privacy practices; their own privacy policies apply when you use them.
7. Marketing messages
We will only send you marketing messages, such as promotions, newsletters or design inspiration, if you have given us clear consent. We will not send marketing messages by phone call, SMS or WhatsApp to a Singapore number registered with the Do Not Call Registry unless you have given us clear and unambiguous consent in writing or another accessible form. You can opt out at any time by replying “STOP”, using the unsubscribe link, or contacting us. Opting out does not affect messages about your ongoing project.
8. Your home in our portfolio
We feature completed homes on our website and social media only with your permission. We describe homes by style and estate or property type only, and will not show your name, unit number, family photos, documents or anything else that could identify you unless you agree. You can withdraw permission at any time and we will remove the photos from our website and our own social media accounts within a reasonable time. We cannot recall copies that other people have already shared or saved.
9. Who we share it with
We do not sell or rent your personal data. We disclose it only as needed for the purposes in this policy, to:
- Contractors, tradespeople and suppliers working on your project (such as carpentry, electrical, plumbing, tiling and delivery), limited to what they need, for example your address, access arrangements and relevant drawings.
- Authorities and building managers, such as HDB, your condominium management corporation (MCST) or managing agent, and other agencies, for permits, approvals and renovation notices.
- Service providers who help run our business, such as website hosting (Hostinger), email, messaging, cloud storage, accounting and payment providers. They may use your data only to provide their services to us.
- Professional advisers, such as our accountants, auditors, lawyers and insurers.
- Authorities, courts or other parties where required or permitted by law, or to protect our rights, our clients or others.
- A buyer or successor if our business is reorganised, merged or sold, subject to this policy continuing to protect your data.
10. Transfers outside Singapore
Some of our service providers, such as email, messaging and cloud services, may store or process data outside Singapore. When we transfer personal data overseas, we take appropriate steps, as the PDPA requires, to ensure the recipient provides a standard of protection comparable to the PDPA, for example through contractual terms or the provider’s own binding privacy commitments.
11. How long we keep it
- Enquiries and questionnaire briefs that do not lead to a project: up to 12 months after our last contact, so we can pick up the conversation if you come back.
- Client project records, contracts and payment records: for the duration of the project and warranty period, and for at least 5 years after the end of the financial year in which the project ends, as required for tax and business records.
- Copies of identification documents collected for permits: only until the permit or approval is completed, unless the law requires longer.
- Website server logs: as set by our hosting provider, generally for a short period.
When personal data is no longer needed for any business or legal purpose, we delete it securely or anonymise it.
12. How we protect it
- Our website uses HTTPS encryption, and our forms include spam and abuse protection.
- Access to client information is limited to staff and contractors who need it for your project.
- Our email, cloud and business accounts are password-protected, with two-factor authentication where available.
- Paper documents are kept securely and shredded when no longer needed.
- Our staff are made aware of their data protection responsibilities.
No method of transmission or storage is completely secure, but we take reasonable security arrangements to protect your personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks.
13. Data breaches
If we become aware of a data breach, we will act promptly to contain it and assess it. If the breach is likely to cause you significant harm, or affects a significant number of people, we will notify the Personal Data Protection Commission (PDPC) within the time the PDPA requires, and notify affected individuals where required, with advice on steps you can take to protect yourself.
14. Your rights
Access. You can ask for a copy of the personal data we hold about you and how it has been used or disclosed in the past year. We may charge a reasonable fee to cover our costs, and will tell you the amount before we proceed.
Correction. You can ask us to correct any personal data that is inaccurate or incomplete. We will correct it and, where appropriate, inform organisations we disclosed it to in the past year.
Withdrawal of consent. You can withdraw consent for us to collect, use or disclose your personal data at any time by giving us reasonable notice. We will explain the likely consequences first. For example, if your project is in progress, we may be unable to continue some services without your details, and this may affect our contract with you. Withdrawing consent does not affect data we are required or permitted by law to keep.
To make a request, contact our Data Protection Officer (section 17). We may ask you to verify your identity before acting on a request. We will respond as soon as reasonably possible, and within 30 days. If we need more time, we will tell you when we expect to respond. In some cases permitted by the PDPA we may decline a request, and if so we will tell you why.
15. Accuracy
Please make sure the personal data you give us is accurate and complete, and let us know if it changes, for example a new phone number or email address, so we can keep in touch about your project.
16. Children
Our website and services are intended for adults. We do not knowingly collect personal data directly from anyone under 18. Information about children in your household that you share with us, for example to plan a child-safe home, is handled under this policy as information about other people (section 2.8).
